Hosting workshops
- Before the workshop starts
- Make sure that the teach team check audio and video settings with the teacher, as well as if they test the Power Point presentation (if there is one)
- Ask the teacher not to attend to the chat during the live session and dedicate a separate Q&A block for questions coming in to the chat.
- Decide with the teacher if the 5-min movement break is going to be facilitated by them, or if we just should play some music and invite people to move.
- The beginning of the workshop
- Always say something like “I’m Andreia, and I’m your host during this 3-month online training…”
- Welcome some people by their names
- Appreciate them turning on cameras but also assure it’s ok to stay off camera
- Invite to rename so that their PC group number is after their name (”If you participate…”; “Otherwise you are welcome to hang out in the social room”)
- During the workshop
- Make sure that the trainer remembers about the 5-min movement break (which is scheduled), and if not, please interrupt whenever possible (somewhere in the middle of the workshop)
- Ask the tech team to play some music, and invite people to move a bit.
- If the teacher wants to do a longer break (like 15 minutes), please ask them to stick to our initial agreement for a 5-min break.
- If the teacher wants to finish early, assure them that we still have time and we can continue or respond to questions.
- Having an eye on the chat
- If a trainer disconnects, then fill in the gap
- Engage participants in Zoom chat (”let us know on the chat…”)
- Closing after workshop
- Say something relating to the workshop content, announce the next week’s workshop, invite for a break and then GSE and PC, letting them know about the music at the end of the break.
- Other
- It’s all about the relationships with the students! Both as group dynamics and also personally with some of the students
- Embrace your gift - your positive upbeat vibe
- Allow yourself to improvise, to be you (share links, songs, poems, etc.)

Managing Whatsapp
- On Whatsapp, feel free to embrace your vibe/style as well and to share what you feel is appropriate
- On the day of each workshop, please post a reminder with short info about what the workshop will be about, the time, etc.
- Other than that, please post at least 3 messages a week with other stuff - sharing a song, a poem, a link to something educational or inspiring, an invitation to share a photo, etc.
- Also, engage with others responding to their messages (not necessarily always, also allow space for people to engage)
- Idea: a ritual of posting photos - “what do you see outside of your window?” or maybe something nice you have seen in your surroundings.

- Paying attention to PF absences and figuring out the replacements
- Replacing the PFs if it’s needed
- Gathering feedback from PFs
